Institutional Financial Accounting & Bursar Analytics Guide (EduTrack)
Goal: Understand how Parents inspect and export student fee Statements of Account, and how School Bursars and Administrators navigate the Bursar Command Center, monitor Term Fee Collection Yield, track class-by-class arrears aging, and export general ledger reports.
EduTrack provides high-density institutional financial intelligence. School administrators gain complete clarity over fee collection pacing, while parents have access to verifiable, transparent student fee statements.
1. Student Fee Statement of Account (Parent Guide)
Parents and guardians can review and export an official, chronological fee ledger at any time:
- 1Log into /parent/payments and click the Statement of Account tab.
- 2Review Student Fee History:
- Opening Balance: Any unpaid or credited balance carried forward from previous academic terms.
- Debits (Billed Fees): Itemized term tuition, boarding accommodation, transport route fees, lunch programs, and science laboratory levies.
- Credits (Payments & Offsets): Verified SettleCore payment settlements, academic scholarships, and advance fee offsets.
- Running Balance: Your current net balance. A balance of $0.00 confirms the student has full financial clearance for the term.
- 3Print or Export:
- Click Print Statement to generate an official paper statement formatted for employer education allowances, bursary committees, or government sponsorship filings.
2. Bursar Analytical Command Center (Bursar Guide)
School bursars and financial officers manage institutional fee operations from /bursar/dashboard:
2.1 Executive Hero Architecture

GraduationCap&Scale), and active academic term.

- Verified Collections: Actual cash verified in school bank accounts, accompanied by a real-time Collection Yield Progress Bar.
- Pending Claims Queue: Live count of parent claims waiting for bursar verification in the clearinghouse.
- Outstanding Arrears: Cumulative uncollected fee balance, highlighting the proportion in 30d+ delinquent standing.
2.3 Analytical Command Quick-Actions

3. Class-by-Class Arrears Aging & Defaulter Tracking
Bursars can monitor fee recovery progress across academic streams:
- Grade Breakdown: View expected vs collected revenue for each class (e.g. Grade 1 through Form 4).
- 4-Bucket Aging Stratification:
- Current (0–30 Days): Normal active billing cycle; parents receive gentle reminders.
- Overdue (31–60 Days): Moderate arrears; in-app fee follow-up alerts dispatched.
- Serious (61–90 Days): Elevated default risk; formal administrative review flag.
- Impaired (90+ Days): Long-term delinquent balances requiring board bursary review.
4. Institutional General Ledger (/bursar/ledger)
- Access the complete double-entry financial record of the school.
- Inspect debit fee obligations against verified credit bank deposits with full audit timestamps, claim IDs, and verifying staff profiles.
